This Privacy Policy describes how PlanScale ("we", "us", "our") collects, uses, and protects your personal information when you use our website (planscale.com.au), web application (app.planscale.com.au), and related services (the "Service"). PlanScale is operated by Daniel Gould (sole trader) in Australia.

We are committed to protecting your privacy and complying with the Australian Privacy Act 1988 and the Australian Privacy Principles (APPs).

1. Information We Collect

Account information: When you sign up, we collect your name, email address, and password (encrypted).

Payment information: We use Stripe to process all payments. We do not store your credit card details on our servers. Stripe collects and stores your payment information in accordance with their own privacy policy and PCI-DSS compliance.

Usage data: We collect information about how you use the Service, including pages visited, features used, and files uploaded. This helps us improve the product.

Files you upload: You may upload PDF construction plans and other documents to PlanScale. These files are stored in our hosting infrastructure and are accessible only to you and your authorised team members.

Communications: When you email us or contact support, we keep a record of that correspondence.

2. How We Use Your Information

We use your information to:

  • Provide and improve the Service
  • Process subscription payments
  • Send you service-related communications (e.g. password resets, billing, important updates)
  • Respond to your inquiries and provide support
  • Detect and prevent fraud or abuse
  • Comply with legal obligations

3. Who We Share Your Information With

We share limited information with the following third-party service providers, who help us operate PlanScale:

  • Stripe (payment processing) — stores your payment information securely
  • Memberstack (account management and authentication)
  • Netlify (web hosting)
  • Google (if you use Gmail to contact us, those emails are stored by Google)

We do not sell your personal information to anyone. We do not share your data for marketing purposes. We may disclose your information if required by law, court order, or to protect the rights and safety of PlanScale, our users, or others.

4. How Long We Keep Your Data

  • Account information: retained while your account is active, and for up to 12 months after account cancellation
  • Uploaded files (PDFs and saved jobs): retained while your account is active, and deleted within 30 days of account cancellation unless you request earlier deletion
  • Payment records: retained for 7 years to comply with Australian tax and accounting law
  • Email correspondence: retained for up to 24 months

5. Your Rights

Under Australian Privacy Law, you have the right to:

  • Request access to the personal information we hold about you
  • Request correction of any inaccurate information
  • Request deletion of your account and personal information
  • Lodge a complaint about how we handle your data

If you are not satisfied with our response, you can lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

6. Data Security

We take reasonable steps to protect your personal information from unauthorised access, modification, or disclosure. All data is transmitted using HTTPS encryption. Passwords are hashed and never stored in plain text.

However, no method of transmission over the internet is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.

7. Cookies

PlanScale uses cookies and similar technologies to keep you logged in and to remember your preferences. These are essential to the Service operating correctly. We do not use cookies for advertising or third-party tracking.

8. International Data Transfers

Some of our third-party service providers (Stripe, Memberstack, Netlify) may store data outside Australia. By using the Service, you consent to your information being transferred to and processed in countries other than Australia.

9. Children

PlanScale is intended for use by tradespeople and businesses. We do not knowingly collect information from anyone under 18 years of age. If you believe a minor has provided us with personal information, please contact us.

10. Changes to This Policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top reflects the most recent changes. Significant changes will be communicated via email or a notice on our website.
